Privacy policy

What we collect when you ask us for a quote or ship with us, why we need it, who we pass it to, and how you get it back or removed. Written to be read, not to hide behind.

01Who we are

Qlovaro Limited (“Qlovaro”, “we”, “us”) is a sourcing, freight forwarding and fulfillment company registered in Hong Kong SAR, with warehouse and operations teams in Foshan and Guangzhou, China. We are the data controller for the personal data described in this policy.

This policy explains what we collect when you visit qlovaro.com, ask us for a quote, sign up to work with us or ship goods through us — and what we do with it. For anything not covered here, write to contact@qlovaro.com.

02What we collect

What you give us. When you fill in a form on this site — a quote request, the shipment inquiry, the rate calculator, the partnership pass or a message to contact or support — we receive what you type in it:

  • your name, email address and, if you provide it, your WhatsApp number
  • your brand or company name and website
  • shipment details: origin and destination, weights, dimensions, product descriptions, HS codes, quantities, delivery and duty preferences
  • anything else you write in a free-text field or send us by email

What we generate while working with you. Quotes, bookings, packing and inspection records, invoices, tracking numbers and the correspondence between us.

What we collect automatically. Basic technical data from your device — IP address, browser type, pages viewed and referring page — used to keep the site running and secure and to understand which pages are useful. We do not build advertising profiles.

What we receive from others. Status updates from carriers and postal operators when you or we track a shipment, and information from suppliers or factories involved in your order.

03How we use it, and why we’re allowed to

  • To answer you and to quote. Checking real rates, mapping a route and coming back with a plan. Legal basis: taking steps at your request before entering a contract.
  • To run your shipments. Booking carriers, arranging pickup, preparing export and import documents, storing and picking your stock, and handling returns. Legal basis: performance of our contract with you.
  • To meet legal obligations. Customs declarations, sanctions and prohibited-goods screening, tax and bookkeeping. Legal basis: legal obligation.
  • To keep the business running. Support, fraud prevention, security, improving the site and our services. Legal basis: our legitimate interests, balanced against your rights.
  • To send you updates you asked for. Confirmations, quotes and shipment notifications. Legal basis: performance of our contract, or your consent for anything promotional.

We do not sell personal data, and we do not share it with anyone for their own marketing.

04Cookies and analytics

The site uses a small number of cookies and similar technologies. Some are strictly necessary — they keep pages working and protect against abuse. Others help us count visits and see which pages are read, in aggregate.

For those visit statistics we use Google Analytics 4, run by Google Ireland Limited. It sets cookies to recognise returning devices and tells us things like which pages are read, which country a visit came from and which site referred it. We only ever see this grouped together — never as a profile of you personally, and we do not use it for advertising. Google Analytics 4 does not store full IP addresses.

You can block or delete cookies in your browser settings, or install Google’s opt-out browser add-on to keep your visits out of Analytics entirely. Blocking strictly necessary cookies may break parts of the site, such as submitting a form.

05Who we share it with

We share only what is needed, only with parties that need it:

  • Carriers and their agents — airlines, shipping lines, rail operators, trucking companies and last-mile couriers, so your goods can actually move.
  • Customs authorities and brokers — in China and at destination, for export and import clearance.
  • Suppliers, factories and inspection partners — where we source, collect or check goods on your behalf.
  • Partners we work with on specific lanes— for example Gruzkitay for China–Russia and CIS shipments.
  • Service providers — website hosting, email delivery for transactional messages, and tracking services that consolidate carrier status updates. They act on our instructions and may not use your data for their own purposes.
  • Professional advisers, insurers and authorities — where we are legally required to disclose, or need to establish or defend a legal claim.

06International transfers

Freight is international by nature. Your data will be processed in Hong Kong SAR and mainland China, and shared with parties in the country you ship to — that is unavoidable if the goods are to clear customs and be delivered.

Where data protected by the EU/UK GDPR leaves that area, we rely on appropriate safeguards such as the European Commission’s standard contractual clauses, or on the transfer being necessary to perform the contract with you or to establish or defend legal claims.

07How long we keep it

  • Quotes and inquiries that go nowhere — kept for a limited period so we recognise you if you come back, then deleted.
  • Shipment, customs and accounting records — kept for as long as tax, customs and company law require us to keep them.
  • Correspondence — kept while we work together and for a reasonable period afterwards, in case a question or claim comes up.

When we no longer need your data, we delete it or anonymise it so it can no longer identify you.

08How we protect it

Access to customer data is limited to the people on our team who need it to do their job. Our site and the services we use run over encrypted connections, credentials are kept in secrets managers rather than in code, and accounts are protected with strong authentication. No system is perfect, so if a breach ever affects your data we will tell you and the relevant authority where the law requires it.

09Your rights

Depending on where you live, you can ask us to:

  • tell you what personal data we hold about you, and give you a copy
  • correct anything that is wrong or incomplete
  • delete data we no longer have a reason to keep
  • restrict or object to certain processing, including direct marketing
  • receive data you gave us in a portable format, or have it sent to someone else
  • withdraw consent at any time, where we relied on consent

Email contact@qlovaro.com and we will respond within the period the law allows — usually much sooner. If you are in the EU or UK you may complain to your local data protection authority; in Hong Kong, to the Office of the Privacy Commissioner for Personal Data.

10Marketing

Transactional messages — a quote, a confirmation, a shipment update — are part of the service and are not marketing. If we ever send something promotional, it will only be to people who asked for it, and every message will carry a one-click unsubscribe. Unsubscribing never affects the operational messages about your shipments.

11Children

Our services are for businesses. The site is not directed at children and we do not knowingly collect data from anyone under 16. If you believe a child has given us personal data, write to us and we will delete it.

12Changes to this policy

When our services change, this policy changes with them. The date at the top always shows the current version. If a change materially affects how we use your data, we will make that clear rather than quietly editing the page.
